Best Practices for Forwarding Comments

The Comments feature in ParentPulse gives you an opportunity to do more than simply read what your community is saying, and it helps you turn feedback into action!

As survey responses come in, you can review comments, respond directly to respondents, and keep meaningful conversations moving. But you don’t have to manage every piece of feedback on your own. With Forward Comments, you can easily share feedback with colleagues and get the right information into the hands of the people who need to see it.

Forwarding can be especially helpful when a parent gives a teacher an amazing shout out, shares feedback that another department can better address, or raises a concern where you’d benefit from another team member’s perspective.

Forwarding comments can help you:

  • Share the good stuff: Make sure teachers, staff, and departments see the compliments and shout-outs your community is sharing about their work.

  • Get feedback to the right people: Share comments with the team members who have the knowledge or responsibility to address them.

  • Collaborate on next steps: Bring colleagues into the conversation when feedback requires additional context, expertise, or follow up.

  • Turn insights into action: Help valuable feedback move beyond the survey dashboard and become part of the conversations and decisions happening across your school.

Best Practices for Forwarding Comments

Provide Context

When forwarding a comment, add a brief note explaining why you’re sharing it and, when appropriate, what you’d like the recipient to do next. A little context can make it much easier for someone to understand how they can help. “This parent raised a great point about our drop-off procedures. Can we discuss potential solutions at our next staff meeting?” Rather than simply passing along feedback, you’re helping connect it to a potential next step.

Celebrate Positive Feedback

Forwarding isn’t just for concerns, share the wins, too! When a respondent recognizes a teacher, staff member, program, or experience, make sure the people responsible get to hear about it. “A parent shared how impressed they are with the kindness and patience of our front office team. Great work, everyone!” Sharing positive comments can boost morale, reinforce great work, and help your team see the impact they’re having on your community.

Keep It Professional and Constructive

If a comment contains critical or emotionally charged feedback, consider how you introduce it before forwarding. Providing thoughtful context can help shift the focus from the frustration itself to what your team can learn or do next. “A parent expressed concerns about the clarity of our weekly updates. Can we brainstorm ways we might make this communication easier for families to follow?”

Constructive framing can help encourage collaboration and keep the conversation focused on solutions rather than defensiveness.

Choose the Right Recipients

Think about who is best positioned to understand, celebrate, or act on the feedback before hitting forward. Targeted sharing helps avoid unnecessary inbox clutter while making it more likely that feedback leads somewhere meaningful. For example:

  • Teacher or staff shout-out → The individual and/or their supervisor

  • Curriculum or academic feedback → Principal, division head, or academic leader

  • Enrollment or admissions feedback → Admissions team

  • Communication feedback → Communications team

  • Facilities or operational suggestions → Operations or administrative team

Follow Up When Needed

Forwarding a comment doesn’t always mean the work is finished. If you’ve shared feedback that requires action or follow-up, check back in with the recipient to see where things stand. This helps maintain momentum and ensures important feedback doesn’t get lost along the way.

Tip! Not every comment needs to be forwarded. Be intentional! Ask yourself, “Would seeing this feedback help this person celebrate a win, better understand our community, or take meaningful action?” If the answer is yes, it’s probably worth sharing!

When used thoughtfully, forwarding comments helps transform ParentPulse feedback from something your team simply collects into something your school can share, discuss, celebrate, and act on together!
