How ParentPulse Uses AI — and How We Protect School Data

Schools trust ParentPulse with sensitive feedback from parents, students, and staff. We take that responsibility seriously — especially when it comes to privacy, data ownership, and the use of artificial intelligence (AI).


This article explains, in plain language, how ParentPulse uses AI tools and what safeguards are in place to protect your school’s data.




Who owns the data?


Schools always own and control their survey data.


ParentPulse acts as a data processor, meaning:

  • We host and process survey data only to deliver the services your school has chosen

  • Your school determines what data is collected, how it’s used, and how long it’s retained

  • You may delete your survey data from our system at any time


ParentPulse does not claim ownership of survey responses and does not use survey data for marketing or promotional purposes unless explicitly authorized in writing by the client.



Why does ParentPulse use AI?


ParentPulse may use AI-powered tools to help schools:

  • Identify trends and themes in survey feedback

  • Summarize large volumes of comments

  • Surface patterns that might otherwise be difficult to spot

  • Construct survey questions or full surveys


AI is used to support insight and understanding, not to replace human judgment or decision-making.



Is our data used to train AI models?


No. 


When ParentPulse uses third-party AI services:

  • School data is used only to generate insights and reporting for that specific school

  • Data is not reused, resold, or repurposed beyond the service being delivered



What data is shared with AI tools?


We follow a principle of data minimization:

  • Only the information necessary to generate insights is included

  • Identifiable information is minimized whenever possible

  • AI tools are not given unrestricted access to school data


All AI usage is governed by the same security, confidentiality, and vendor-management standards that apply to our other subprocessors.



Is school data shared outside of ParentPulse?



ParentPulse shares data only in limited, clearly defined circumstances, including:

  • With vetted service providers (such as hosting, analytics, or AI services) under strict controls

  • When required to comply with applicable laws or legal requests

  • In aggregate, de-identified form for optional benchmarking (never including names, contact information, or verbatim quotes)


Survey data is not soldnot used for advertising, and not shared for third-party marketing purposes.



What about students and children under 13?


When surveys involve students under the age of 13:

  • ParentPulse acts solely as a data processor on behalf of the school

  • Schools remain responsible for obtaining any required parental consent under COPPA or other applicable laws

  • Student data is used only to provide the contracted services and is not used for profiling or marketing



Security Safeguards


ParentPulse implements administrative, technical, and physical safeguards designed to protect data, including:

  • Encryption in transit and at rest

  • Role-based access controls

  • System logging and monitoring


While no system can guarantee absolute security, protecting school data is a core operational priority.
