How to Use Admin Demographic Restrictions

Demographic Restrictions allow you to fine-tune data access for each administrator based on set or custom demographic questions. 

Whether you want to restrict access by grade levels, programs, or sensitive information, this feature provides tailored visibility to meet your needs. Demographic Restrictions can be applied to existing ParentPulse admin or set up when sending a new admin invitation.  





Why use demographic restrictions?

  • Customized Access Levels: Assign specific permissions for administrators to ensure they only see the data they need to.

  • Improved Data Security: Hide sensitive information from admin that won’t be working with a specific set of data.

  • Enhanced Flexibility: Apply restrictions based on both system demographics (e.g., grade levels) and custom demographic questions (e.g., program involvement).


How to Use Demographic Restrictions


Demographic Restriction Examples

Managing Divisions by Grade Level

  • For example, a larger school might have division-specific principals.

  • Example: Restrict access for the high school principal to only grades 9–12.

  • How-to: In the admin’s settings, expand the grade-level question and select grades 9, 10, 11, and 12. The principal will only see high school data on their Dashboard and other pages.



Custom Program Focus

  • Your school might have a growing special education program, with a dedicated program director.

  • Example: Limit access to data from respondents that indicate their involvement in the program.

  • How-to: Create a custom demographic question for the program and add it to your survey. Then, restrict the director’s access to that subset of data.



Hiding Sensitive Filters

  • For tracking sensitive information like income levels:

  • Example: Ensure only the CFO or Head of School can view and analyze this data.

  • How-to: Hide the income-level question from all other admins. This ensures the information is completely inaccessible to admin that don’t need the information.
